Financial Policies

Deposits secure your child’s place in the class and are nonrefundable unless The Gathering Place cancels the class due to minimum enrollment not being met. Families using installment plans agree to complete all scheduled payments by their due dates; installment payments are nonrefundable once processed. Withdrawals after registration do not qualify for refunds, though transfers may be permitted if space allows. If The Gathering Place cancels a class, families receive a full refund of all payments made. Refunds are not issued for missed classes due to illness, travel, or personal scheduling conflicts. Weather‑impacted classes may be rescheduled; refunds are only issued if the program fully cancels the class. Returned or failed payments may incur a processing fee, and families are responsible for keeping payment methods current.

Attendance & Participation Expectations

Consistent attendance is expected so students can fully participate in class activities and projects. Students must follow staff instructions, respect peers, property, and animals, and maintain safe behavior at all times. Parents agree to provide accurate registration information and ensure timely drop‑off and pick‑up. Students should arrive prepared with appropriate clothing, supplies, and a willingness to engage. Unsafe or disruptive behavior may result in dismissal from the program without refund.

General Safety Rules

Students must follow staff instructions at all times and remain in designated areas. Children must use caution around uneven ground, tools, equipment, and animals, and may not enter restricted areas. Animal interaction is permitted only when supervised; no feeding or touching animals without staff approval. Running, roughhousing, or unsafe behavior is not allowed indoors or outdoors. Students should arrive in appropriate clothing and footwear for indoor and outdoor activities. All participants must follow safety directions during weather events, drills, or emergencies.

Photo & Media Release

Parents may grant or decline permission for The Gathering Place to use photos or videos of their child in ministry materials, social media, and promotional content. Staff will make reasonable efforts to honor photo opt‑out requests. In group settings, children may appear incidentally in photos; no names or identifying information will be shared. Photos are used respectfully and never sold, shared, or used outside ministry‑related communication.

Email Communication Terms

Email is the primary method of communication for class updates, reminders, and schedule changes. Parents agree to check email regularly and respond promptly to messages regarding attendance, safety, or payment issues. Parents must keep their contact information current so staff can reach them quickly if needed. Important notifications may be sent through automated email systems.

Agreement

By registering a child for any program, parents/guardians acknowledge that they have read, understand, and agree to all Terms & Conditions listed above. Additional documents requiring signatures — including liability releases, medical authorization, emergency contact forms, and animal interaction waivers — will be completed on the first day of class.
